Agenda Structure

Each agenda follows a consistent format:

  1. POST-MEETING SUMMARY - Added after meeting, digestible summary of findings
  2. Meeting Objectives - Clear goals for the conversation
  3. Demos/Walkthroughs Requested - What we want stakeholders to show us
  4. Questions to Ask - Comprehensive discovery questions organized by topic
  5. Key Discussion Topics - Strategic conversations needed
  6. Resources Mentioned/Requested - To be filled during/after meeting
  7. Notes - Space for insights, observations, quotes captured during meeting

Post-Meeting Process

After each meeting:

  1. Add POST-MEETING SUMMARY to agenda document

    • Key learnings (3-5 bullets)
    • Answers to key questions (reference Q numbers)
    • Quick wins identified
    • Decisions made
    • Next steps with owners
  2. Update Discovery Wiki

    • Add new systems/tools to Agent Systems Inventory
    • Update KPIs & Performance Metrics
    • Document workflows in Current Workflows section
    • Add pain points to Pain Points & Opportunities
    • Remove answered questions from Open Questions
    • Add Change Log entry
  3. Create transcript (if recorded)

    • Save in /meeting_transcripts/
    • Format: stakeholder_topic_MM_DD_YYYY.md
  4. Create follow-up tasks

    • Schedule shadow sessions if needed
    • Request data or system access
    • Plan next stakeholder meetings
