1. Improvements and updates (February 2026)
Notion and documentation
- Notion revamp: document audit completed (except no document type, reference, tutorials, guides); Rico/Elizah tagged; Loom walkthrough for leadership; soft launch of revamped Notion on Friday retro (Feb 2–3).
- Notion structure: master documentation database with linked/filtered pages; mini-databases or filters for Missions and Values; recruitment page filter (HR tag); Operations Manual / operations database separate from master (Feb 3).
- Homepage: wireframes for new Notion homepage; old Notion homepage closed off (Feb 24).
- Finance process map: documented finance tasks (daily/monthly/quarterly/annual), ops vs finance leadership ownership, shadowing plan, in Operations Manual (Feb 24).
Process and governance
- AOR (Area of Responsibility): AOR review formalized as monthly EOM; DRIs update status; finance AOR added; whole-company AOR in internal review cycle; documentation created for EOM AOR process (agenda, software review, DRI updates) (Feb 20, 24).
- Escalation policy and SLA: Escalation plan documented; SLA for ops requests (e.g. expense, PTO) with target turnaround (e.g. 48 hours); rollout started; guide provided to team (Feb 20, 24).
- Operating / allocations: “If it’s not on the timeline, it’s not happening”; Rico Friday reminder to update operating for next week; Monday ops review of allocations; reduces stale data (Feb 12).
- Recruiting on ops agenda: Add recruiting updates to weekly operations meeting agenda (Feb 10).
Tools and automation
- Linear: Ops cycle view for ops team issues; cleanup of completed items (e.g. cancel unused tools OPS337); Sales Navigator move to team subscription, cancel individual (Feb 10).
- Software review: Monthly software review (cancel/downgrade/negotiate); list for Uttam; Omni dashboard for software (and other) expenses.
- Finance automation: Finance aging automation in progress (QuickBooks + Slack visibility, Zapier); monthly ops control dashboard planned (margins, cost, revenue tied to Gantt) (Feb 24).
- Ops request intake: OpsQuest + Linear for ops requests; team reminded to use Linear/forms so requests live in one place (Feb 20, 24).
- Delivery process: Delivery process form consolidated; to be set up in Notion (Feb 20).
Structure and cadence
- Ops vs business operations: Recruiting peeling out of ops; business operations = delivery ops, business ops, recruiting, people ops; Weekly Ops and Recruitment Sync combines renewals, recruitment, expense requests, Gantt priorities (Feb 24).
- Ops–finance cadence: Structured ops–finance bi-weekly sync planned (pending finance buy-in) for ongoing tasks/projects (Feb 24).
- EOM cadence: Second month of EOM check-in with AOR review; Friday EOM meeting (Feb 24).

- Equipment request documentation finalized and shared for review before recruitment team (Feb 3).
