Contractor Reliability and Notification — Team Guide
For: Independent Contractors
Owner: Operations
Latest Update: [Date]
What this is
Brainforge expects all Independent Contractors to be reliable on deliverables and deadlines and to notify early when something will affect delivery. This guide summarizes what you need to know. The full policy (including how we handle non-compliance) lives in the Operations Manual.
Reliability
- Reliability means meeting agreed deliverables and deadlines and telling us as soon as you know something is at risk.
- Notification means informing your direct lead, project manager, or Operations when you cannot meet a commitment or when unavailability will affect delivery.
When to notify
Notify as soon as you know delivery is at risk — for example when:
- You cannot meet an agreed deliverable or deadline
- Planned or unplanned unavailability will affect what you’re responsible for
If your project or contract specifies a notification timeline or method, follow that. Otherwise, notify as soon as practicable.
How: Use the usual channel (e.g., Slack, email) and contact your direct lead, project manager, or Operations as appropriate.
What we expect
- Meet agreed deliverables and deadlines
- Notify proactively when deliverables or deadlines are at risk
- Use the agreed systems and channels (e.g., timesheets, OOO, status updates)
If expectations aren’t met
Repeated or serious failure to meet these expectations is treated as a contract and reliability issue. It may be considered when we make decisions about:
- Contract renewal
- Assignment to new projects
- Client-facing responsibilities
In serious or repeated cases, it may result in termination of the contract for breach, in line with your contractor agreement. Depending on the project and impact, decisions may be made by the responsible Executive or Manager.
If you’re unsure about a situation, ask your lead or Operations before a deadline is missed.
