Them: Then i basically just do formulas to back out okay what was my total drink mix revenue Minus the ones that are being counted in the online reseller or international bucket so i’m not double counting any revenue to back into then what strength mix revenue what sparkling revenue And then which ones are online and which ones are international And if you look on any of the tabs if you ever wanted to go in and be like okay why are the december number so off You could see in there Like even if you looked at Like whole scripts for example we track it here so i know to remove it when it’s an online reseller but it did come through the pallet builder so if you were ever looking at like the whole scripts row Me: Yes Them: For december you would be like okay is a check a quick checkpoint was there shopify order that’s in their orders the twenty two thousand one And did that match Me: Going through and do yeah basically we start with the one with homestead compare those are Them: Yeah Me: Shopify Them: Let me send you the Let me send you the january p and l and Sorry can you tell oh there it is And then Let me send you The december one And then i think if you can get your raw data To basically do what i do which is cross reference the p and l with what’s in this tracker you’ll have all the same pieces that i have to map back to this And then i think it would be obvious if there was like some duplicate maybe like Me: Yeah i mean first place to start for us is like i just want to mass shop and buy a shopify Them: Yeah Me: And then we’ll work on the rest so this i know a lot of backup demand Them: This column just make sure to pay attention to that because shopify to shopify would be if this is checked And if it’s not check manual Me: Okay So i’m going to just go ahead and do that we’re going to go ahead and do that just for january and then we’ll go back a few months To just get that from last but we can all of those app Them: December january just like you guys good for that sounds good thank you laura Like with them i’m like even hesitant to show this to will tomorrow Me: I Mean i think there’s like there’s kind of two workstrong one is like we’re still iterating along the formatting And we’ve still nothing around the data model We needed to get it to the states to start the qa Them: Yeah Me: I feel like if the conversation with will is just going to be about hey we have this formatting now and we can link to gather questions But that’s why i’m sort of pushing robert or amber to just knock down the field netting So that we no longer debating like okay are we getting four to the averages of nuclear average is like want them to serve long mat So i can sort of eliminate that as like a reason for a Them: Yeah Me: Bat Them: Do you see what i’m doing i’m adding in file over overview like current state is like needs to Work in progress Working proper progress needs to be q a Just so that people like if they’re orienting to the document they’re not like wait these numbers don’t match up Right Me: And then i mean this is where like in the wash is where all these like okay what else is different We didn’t know originally what this cookbook Was the case Especially mispronounced Them: Yeah Me: But it’s traded two paths i mean one is just saying this is anything coming from shopify Them: Like even in like total revenue right now you can say like Total revenue is like Some f’s from quarterly raw data like we’re metric equals total revenue like total shopify revenue right Me: Yes Them: Like Me: But i think your question is irrelevant without That other Them: Oh it’s locked i can’t i can’t update that one okay Wait Why is the summer Me: May be added in Them: Okay Cool okay But yeah Like but then even if it’s just shopify that’s fine but then it’s like then it shouldn’t be more than what the total is is basically the takeaway right because there’s like three point three is just more than what we’re seeing Me: Yes Them: And Me: I’m going to go my first question is going to a basic sentiment note while we’re talking about hey just go double check that these are things Them: Madison just sparked something for me Which i think we experience this Sorry hold on let me pull this document and then We do a refunds report also every month Because I just dropped that in there let me give you access So yeah so each month we there’s oftentimes like you know fifty thousand a month For example in that that’s refunded but it shows up as a refund in shopify but was either just like rebuild like so like the shop pay issue for example the total refunds on that that’s because like we proactively cancel a wholesaler’s order if they accidentally ordered from their shop pay personal account and didn’t get wholesale pricing and didn’t notice they were in shop pay those get refunded but then the transactions reprocessed so we pull these out so that we’re not like if you see the impact on the revenue there because like essentially the shop pay ones are like a direct trade from hey we refunded the money went back and now it’s on your wholesale account And so like a customer error on that like two hundred seventy five one for example We’ve had a couple cases where like big pallet builder order come through and a customer will say like oh my gosh i accidentally ordered the total wrong skus or i you know I like did it on the wrong account or my our warehouse is closed so i need to shift the delivery date or something so that we track this monthly too so i think when you go through your line items because i think that was the other piece when i when we had initially looked at report Where i was like i think we talked about this of like do you guys want refunds to show or not But these need to be reconciled at the end of every month and we do that so i’m wondering if that might be it’s not your definition of revenue is something that like is net of the like what you put in your okrs is net of the refunds Yeah it’s a good question i need i should we should probably triple confirm with beth Are they just straight out if it says no revenue impact taking that out I would need to get clarification on that I would just have to run that by best to see exactly because we’re telling them like which ones had an impact like would have an impact on revenue if it was like because there are some like where the order is like fully canceled and then like the we’re not rebuilding or putting it under a different account or something so that we could just make sure we’re knowing how finance is reconciling those I’m not being i’m not being super clear because i actually don’t know where they were no no that’s that’s okay it’s like knowing how finance reconciles it and like i guess i guess it’s like the gut check that would be awesome if madison can do is like if she were just to be like from her sources of going to shopify and i don’t know if this is right But if she was like if i was just trying to pull raw revenue from shopify would i get to three point three million for december And it was just like okay i can like kind of see how they would have gotten here and like but what i do is i take out these refunds and i do these things like i’m curious like what she would see if she just like pulled it from the shopify straight up We can try she just we just don’t like that’s she how you do it yeah like we’ve never it’s always the quickbook numbers with this process so like i don’t even know She’s we’ve never not gone off finance numbers as the source of truth Gotcha okay so maybe the people we need to talk to are finance now versus u of medicine like just like i can talk to bess and be like can you walk me through how you the refunds thing i’d like to be a part of that conversation if you can add me if you are doing that with her and then i think separately Because that’s one piece and some months it’s much bigger than others but then i think separately actually yeah i would love to be a part of that too i just see what they get in quickbooks and then back into the number so maybe they’re doing something totally different but it should be like ultimately i think shopify and quickbooks Besides the manual account should match right yeah So that’s where it’s like i don’t know how we’d be that off i think before you would have that conversation with her though it probably would be good to do the raw data that you guys were talking about just make sure there’s not like the december being so much higher Just like makes me think there’s probably Duplicate somewhere yeah And so to do that would you just say i want to look at all orders that took place in december that were wholesale tagged Me: Yes Them: Okay cool Wait what’s the net difference though because we did have much higher december total refund Which was three hundred Me: Three point three Them: And i was saying two point Me: We have like the recreate constituent level two Them: Yeah it’s still i’m yeah the total is still so off we’re like two six Me: Yes Them: Yeah Okay Me: I’m just going to go see one of them double check that there’s nothing happening with sheets And then even then i will zoom it backwards Them: And then shivani if you connect with bess i should be able to answer that question better about the where the refunds get subtracted from so let’s see if she has time tomorrow morning The thing is it’s like we’re going to shift our attention to retail soon and i’m kind of like okay like we like we delivered a clean table that i’m hoping is like useful to you in madison If if this if the feeling is like i actually don’t know what to do with this data set then that’s like we didn’t quite land the plane If it’s like for it to be useful i still need a b c d then it’s like good for me to know what that backlog is but like that just takes a little bit of effort For madison to like cute she has some q a and she needs to do some clean up like you know like she has that on her sprint i think to like clean do some of the cleanups so the data gets better But i think like as you engage with it more we’ll learn more and then we’ll figure out like okay like i’m also trying to figure out what point does element need like an internal data hire to like keep the thread going once brain turns their attention to somebody else Right But before i move comfortably to retail i want to feel like we like at least got to like a decent place with wholesale and i know i said like it’s done because we delivered some clean we have clean tables and snowflake now but like done to me is that like there’s some level of like yes this is a useful report to me now Yeah and i know she does have some of the cleanup on her sprint she’s actually coming to me next week and we’re going to spend a lot of time together so we can look at this too i think even just like i think we’ve been erring on the side of also not going back for a lot like even i can tell you like two quick things even like health practitioner random line item of five hundred like that’s a health practitioner’s trusted house so something weird is happening with the category categorization there and then online reseller for example like if i was going to use this report Unless it was broken out by the us ones and the international ones i still have to pull that manually so i was erring on the side of like not going back to you guys with so many other things of like i need i need online resellers further broken out for me to be able to just use that table just because like scope creep on us So i think that’s still where i’m like we can definitely sorry i’m just watching the dashboard i think i’m next we can definitely like still i think we can make it even more useful i’ve just been like trying to figure out like what’s the base case because i know you guys have to move on to Why don’t like like if you were to say like this is my wish list and just organize it then it’s helpful for us to know if you’re like hey the things that i’ve noticed are a b c d and then we can like it’s like just like a cue like as if we had a dado team that had like a jira board and it’s like okay we’re going to prioritize retail but like if somebody has capacity we can say A wish you have a little bit of capacity can you tackle these three things for wholesale this week and so it’s like eventually we’re going to have internal stakeholders being like i need this cut And or like need this thing added and in in the google sheets view eventually we’re going to have a bi tool where hopefully people can self serve like i want to make sure i’m feeding the bi tool with like the cleanest defined things and when i see revenue is off that makes yeah i’m like okay like if i were james going in and saying i want to see how revenue was in florida across wholesale i want to trust that number and right now i’m like ooh our definitions for how we’re getting revenue aren’t clean and therefore i’m feeling a little bit like like when you look here with them at and then i’ll let you go like some ifs from quarterly raw data where metric is total revenue is Me: Yes Sure That’s what i was saying there’s sort of like a couple pieces there’s like all the stuff we made in snowflake there’s managing the model and then there’s sort of the formatting on the shoe this is where i really just want to pass this to ramen nambia to sort of work directly with you to just make this shoot super usable And have the definition here because it’s even changing almost with every changing every like two three days so it’s hard We have this definition like in a past state It’s just a changing too fast here So keep this updated still the definitions of the columns or the stuff are changing A coefficient into the Yeah i just think there’s like we’re we’re trying to change the formatting on this Sort of while we’re qa and so it’s just hard We’re just changing a lot all at the same time So i want to push on robert and amber to sort of own the formatting of the google sheets And have That Yes Yes Yeah okay Yes Y Es Yeah Yeah if we can if we can actually rob it on the other Yeah Sure U N Yes Yes Okay Sure Yes Left I mean it’s sort of like you kind of only uncover those things while we get to this point without this reporting We could have never been like okay we’re missing this amount Yeah this is kind of how it is so for me what i think about is like For when you go into retail how much capacity do we need some sort of Additional Like how much do we expect like sort of additional things to come out of the woodwork And like the battery budget for that Solving let’s say i was just going to take it’s just going to be a little bit like the next thing the next thing but it’s also clear that they also just weren’t using the existing customer sheet right and paul wasn’t using it for stuff it’s only solvable of how many people are in florida We could sell that today Off Okay Y Es yes Yes Yes The partner count stuff Okay O Kay You can also just hide the revenue stuff because the active customers acting applicants is more accurate Okay Okay Okay Okay Perfect Okay Thank you Fine Them: Recording in progress Me: Everyone sorry about the door i just had a plan to kind of go over Them: No it’s it’s perfectly fine and thank you thank you so much i know how busy your schedule looks like but thank you uttam for making a time for this call so the mere purpose of having this call is just for us to go over and to formally introduce of course brial joining the team as you’re a new project management coordinator and then i will also be needing your help as we go through the slides just To have a clear alignment on what onboarding looks like maybe run through a brief overview on how onboarding looks like for braille and what will be your team’s expectation especially during the first thirty days and milestones for braille Me: Three Them: Okay so we will be skipping the part of doing the introduction because i know we meet during the interview with brial and yeah we will just go right straight to the expectations and uttam i’ll be needing your help To discuss what onboarding looks like for brial will there be like a proper training And will there be like tools that you will be provided during the first few weeks being onboarded with the team Me: Three yes so on on our side yes there will be pretty similar onboard Ing So nico on our side We’ve been sort of giving him access to him to see the two s and then yeah there’ll be basically this is like four minutes of closeover team n it can be kind of a coordination be the two s Coordinated and i’m from the nar projects right now it’s a really big goal of this one to sort of start to look at how ad maybe in some projects and also how not managing some projects And sort of start to map out all the processes and be mainly like the log down here is like what you learn from all projects you’ve actually been looking to have the other project coordinators and bugs that you adopt and particularly what i really decided to do and what i’m going to see kind of pushing to do is i’m going to be using like ai to have people out of the process Them: Great Me: So we have a lot of ai built to help us do project planning do summarization And you and me would sort of be within sort of see like all the ways and which ones ai to have so that’s maybe project plan and then you can just certain start to disseminate that to the rest of the team So in that sense i think that’ll be primarily looking for and then primary kind of starting to extend some of these learnings to the rest of the team Them: In terms of onboarding uttam i know that you will be collaborating working hand in hand and you have your process guidelines with that you will be sharing over to brial i just wanted to get like a clear picture will that onboarding will be more of like hands on training for him observation shadow or will there be a time that you will be just allowing him to read through some documents read through some process guidelines that you have available for him to have a clear understanding prior to do the shadow sessions Me: Yeah it would be kind of mix of both so i’m in several meetings for daily stand ups every day from different teams so we’ve been kind of joining me on those i’ve been giving time set aside from so we’re on the road we project planes and you’re basically the trap Them: Okay Me: Tasks and then soon together so yeah i don’t think that should be a bunch of a problem Them: Okay Great Ryle any questions you have regarding onboarding I’m good for now sorry one question utam one thing that i have Seen the importance of during previous role is actually meeting the team like speaking with all team members one by one just getting to know them and i think that it would really help me in this role just so that i would build that chemistry as early as possible i just want to make sure that that’s okay with you Me: Yeah it’s only the game connectedness most of you on day to day basis and how have you impacted everybody as students who can to start kind of bringing these relationships Them: Okay Love that okay Perfect any other questions Be None so far Okay So as we move on in terms of communication Platform that he will be using uttam correct me if i’m wrong team will be using slack for immediate communication immediate updates right Or do you happen to have like any other communication tools that you are using apart from email and your project management tool Me: That’s permanent and it’s not happening here it’s an adam we do have some specific elements and tools that i do charts and things like that But again a lot of it is going to be working together to figure out the best set of jobs Them: Okay Perfect And then working schedule are you okay with nine am to six pm eastern time for brial to start starting tomorrow Me: Yeah that’s also fine i mean i think most of us are on five main students Them: Eastern Okay Me: I’m usually up by having said for a family like that Them: Awes Me: ‘s really bad. Them: Ome Okay great and then i’m not sure if you received the email i sent out b’s growth assistant email address including his whatsapp number to start creating his Brainforge tool success and email i’m not sure if that’s already been set up or will the team be setting this up Right after this call Me: Yeah we go be sending all of that because that hasn’t been done yet then i completely went to that Them: Yeah i think it hasn’t been done yet uttam yes because we checked earlier prior to this call you never received anything up to now br right Me: Okay Them: Yep done so far Thank you Okay and then in terms of check in so uttam i will be doing regular check ins with you being your client success manager So during the first seven days from the time we onboarded braille i will be sending you a short and brief email asking how onboarding went during the first week but of course it’s not really necessary for you to give like a lot a lot of feedback but just merely some observations that you can share or any opportunities that you feel like we can help braille to become more successful for this role that’s the purpose of that and then after the seven days we will be scheduling the thirty days check in i will arrange the schedule with you today before we wrap up if that’s fine just to discuss quickly discuss performance evaluation for braille during the first thirty days being onboarded with the team okay Me: Okay Them: Bryle same thing goes with you with your client success manager greg he will be doing regular check ins weekly for the first few weeks and then you will be having your regular thirty sixty and ninety days so just to give you a heads up those check ins are really important for you br that’s the good time for you to discuss what are the trainings that you feel like is something that you wanted to go through we have training materials available that can help you grow and become more successful for this role so let us know but of course these check in session should not stop you giving out feedback or if you need like urgent help needed from your support team just message us being a sense slack we’re always available to support you okay Okay gotcha and just just one question for uttam Since i’m going to be directly reporting to you Would i be expecting like weekly one on ones between us Two Me: We probably end up talking Like most days Them: Okay Me: I was like so again we’re really really tight team folks that are looping the weapons in like we ended up talking daily and then at least once we need to have like a session But we end up probably talking on the phone most days Given that you kind of like projects Them: Okay Me: And then start to get a sense of the other team and then we can do as much as we can in the same conference Them: Okay gotcha Awesome okay so moving on to my favorite part communication expectation but before i go on to number one utam allow me to confirm and check with you how would you prefer for braille ascending those start of day and end of day report will it be via email or will it be via slack Okay Me: Yes i think like nothing that’s important i’ve seen this in my doing is they’re just like hey here’s what i’m working on Today Them: Okay Me: And then make things up they’re like here’s what i got mistakes in the world so it’s an easy way to get feedback from everybody I’m trying to also just develop everybody to try to do that so that i think is the best way to get a good thing actually we should think about this or should we prioritize this way At the end Of the day because some people want them to wave and things like that we can take care of work and continue so it’s best just in our slot channel that you’re part of Them: Do you happen to have like a preferred template for brial to follow in terms of the end of day report because i think end of the report is very important for you to have like a clear overview of what are the projects that’s been completed what’s the status what’s the working status of that project what are the milestones or roadblocks that braille experience or what’s stopping this project from going to the end mark do you have like a preferred style of how bria of how brial should work on that report or is it okay if we will create a template for brio that he can use Me: Yeah we have some examples in slack that i can share Them: Okay okay Great yes so br just tomorrow once you started your chef just get through those start of the and nw report templates and then you can also share it with greg your success manager so you can he can also guide you in how you should be preparing it moving forward okay this is very important these are things that you should be sending daily okay because this is the best like avenue for your client for uttam to understand what are the things that you’ve been working on where do you need help and how they can be able to support you Okay gotcha Perfect so as we as you start as you started working with the team tomorrow please be reminded that you should be on your shift during from nine am to six pm so that shift schedules will allow you like one hour break schedule in between you have the option to break it into two thirty minute breaks but one thing i want you to take note is whenever you have to take your break please inform the team on slack there is a notification and there’s a status button where you can change it if you need to step away from your station change your idle okay and please put a timestamp on what time you’ll be coming back so that the team will have visibility that hey you’re taking your break then also just Send a quick chat to everybody letting them know that you’ll be taking your thirty minute or one hour break and then since we’re working remotely It is very important that in meetings like this you have your camera perfectly working it’s nice to have faces during this type of calls especially during the first i should say two weeks you will be having your regular sessions with uttam to go over onboarding documents to train you with so just make sure you have a working camera an audio is working perfectly Okay that leads me to point number six make sure to join meetings at least ten minutes before the scheduled time five to ten minutes i should say safe just for you to have like enough time to check if your camera is working if your audio is working in that way you will not be affecting other people’s time starting the meeting okay okay awesome so first few weeks will be like a shy moment i should say but with you bryle i feel like you’re very confident and very proactive but yeah just be very consistent okay and being proactive asking questions ask clarifications if things are unclear just make sure to reach out to the team and make sure that you are aligned especially during training this is very important being proactive on the learnings that you have and also being resourceful try to do as much as you can in terms of research reading through the documents for you to have like a clear understanding and to ramp up as soon as possible in terms of training and to start creating that value and helping the team in of course managing their task so i think those are all the important reminders that i wanted you bryan to remember but uttam anything else that you might wanted to add Me: Yeah i’m going to send in just so we can right now so if he gets you onboarded like you could chat and slap like as soon as you’re on if you’re in seventy one meters May otherwise you didn’t track email first thing to know too Them: Okay great so br tomorrow you will be expected to log in at nine am okay eastern time as soon as you log in just shoot an email to uttam if you still don’t have access to slack but if you have it just make sure to activate the tools that they shared over gotcha okay Perfect any other questions brial concerns Before we wrap up Yeah all good for now looking forward for us to talk via slack with them really excited Me: Thank you you too super super pg thank you i’m pumped Them: Thank you and uttam before we wrap up i just wanted to check if we can schedule the thirty day check in on today is Tenth on march tenth it’s tuesday Me: Sure Yeah that works Them: Same time or would you prefer like an earlier schedule like one pm eastern Me: I think this time is probably best Them: Okay sure i’ll go ahead and just send you a calendar invite right after this call and summary including the attachment of the onboarding document Me: Okay Them: Perfect so brial congratulations and yeah reach out to the team once you already have received the credentials and activated Yeah sure thank you thank you maria thank you see you tomorrow thank you tom have a great one take care bye bye
